When and where
The conference will take place at the Westin Resort & Spa, Whistler, 4090 Whistler Way, Whistler, BC V0N 1B4.
The conference begins with a reception the evening of Thursday, June 4, with light snacks and a cash bar. The meetings wrap up on Sunday, June 7, at noon.
A limited number of Deluxe Studio Suite rooms have been reserved at a COFAS rate of $189/night, plus 16% tax. These rooms have a queen bed and a pull-out couch. This rate is available 3 nights pre- and post-conference, should attendees wish to extend their stay. Rooms must be prepaid by credit card and are non-refundable after May 5, 2020. Attendees are encouraged to book their rooms early to avoid disappointment. Larger rooms are available at market price.

How to book your room
You must book your room directly with the hotel (call 604-905-5000. Use the group booking COFAS-UBC Faculty Association 2020 to get the guaranteed room rate. The hotel reservations number is open 8 am – 5 pm Pacific Standard Time (PST), Monday–Saturday.
If you are booking under a different last name than we’d normally know you by, please let the site coordinators know so we can keep tabs on registration.

After you book your hotel room, use the new online Registration Form to register for the conference. Don’t forget to print a copy to submit with your payment.

Getting to Whistler
The Vancouver Airport is about 1.5 hours drive from Whistler. There are a number of travel options to reach the conference hotel. See more details in the Transportation to Whistler document.
Friday June 5 is the COFAS group dinner, a west-coast BBQ dinner buffet, served with a glass of wine. The dinner is included in the registration fee for all delegates. If delegates would like to bring guests, please be sure to select the appropriate options on the Registration Form. All guest dinners must be paid in advance as part of the registration. The dinner will be at the Garibaldi Lift Co. which is a five-minute walk from the hotel.
A daily breakfast option is available to all guests attending Whistler during the three-day conference. If your guests plan to join the COFAS group for breakfast, please fill in the appropriate information on the Registration Form. All guest breakfasts must be paid for at the time of registration.
Accessibility and Child Care
The conference venue is fully accessible to people who use wheelchairs and scooters. The group dinner venue also is fully accessible. If you require accessibility options for your room, please be sure to mention this when you call the hotel for reservations.
If attendees are bringing children and would like assistance finding appropriate child care during the conference, please contact Babysitting Whistler.
Deadlines and cancellation policy
The deadline to register for the conference, book your room, and register guests for the group dinner is April 15, 2020.
Whistler is a highly sought-after location which means room availability is very limited. We urge you to register as soon as possible and cannot guarantee rooms, group dinner or conference registration after the deadline date.
After April 15, 2020, there are absolutely no refunds for the conference or group dinner. COFAS will be committed to pay the whole amount.
The hotel will allow a refund for room cancellations up until 30 days before the conference start date (May 5). On May 6, 2020 or later your room is non-refundable. If you cancel your room, let us know immediately so other COFAS members wanting a room can get a reservation.
